Part V: Build Together | Chapter 21

Building a Shared Knowledge System

Building a Shared Knowledge System

The Goal

By the end of this chapter you will know how a group collects, organises and improves what it knows, so that quality stays high, new members learn quickly, and the group doesn’t depend on one person’s memory. You will build the first pieces of your group’s knowledge system: standards, checklists and a shared prompt library.

Understand: why groups forget

Every group learns a lot in its first months: which supplier is reliable, how to avoid mistakes, which message gets customers to respond. But often this knowledge sits only in one or two heads. When that person is ill, busy or leaves, the group starts making the same mistakes again.

A shared knowledge system is the group’s memory. It holds what works, in a form that everyone can find, use and improve.
